Practice Policies

We are committed to providing a safe, supportive, and collaborative environment for all our clients. Our practice policies were created to ensure an effective and professional therapeutic experience while providing services online. The following are policies that we have set to efficiently run our online practice. 

  • Ray of Light Wellness LLC does not provide emergency services. If you are having a potential life threatening emergency, do not feel safe or feel you may harm yourself, please contact 911, 988, or your local crisis center. The messaging feature on TheraPlatform, the use of email, calling our practice and/or texting our therapists are not to be used during an emergency because there is no guarantee that someone will be available at the time the crisis is occurring. 

  • Therapists reserve the right to not attend to messages that are sent before 9am or after 8pm on work days when we are not available. This practice is also not available on Sundays. Please be aware that all therapists at our practice have different schedules within our available hours of service.  Therapists do not have to respond when they are not working. Therapists are also attending to sessions and performing other standard work requirements throughout the day. Therapists may need up to 1-2 work days to respond to messages on TheraPlatform, emails, voicemails, and/or text messages. 

  • Clients must make an effort to secure privacy. Please be mindful of your living place. Please arrange a private space to meet with your therapist to prevent any disruption. This practice must comply with HIPAA standards. A disruption in privacy may lead to rescheduling the appointment. 

  • Clients can attend services through web cam on TheraPlatform using a laptap, PC, Ipad, or cell phone. Clients may also choose the option of talking through phone calls after their first web cam session if there is a disruption in internet services or a significant reason to do so. If web cam is not possible during a first appointment than that first appointment must be rescheduled.

  • Clients must be located in the same state where their therapist is licensed at the time of the appointment. Any violation of this would be a direct violation of that therapist’s license and also would jeopardize this practice. This is the current regulation and standard pertaining to telehealth services. The therapist however does not have to be presently located in the same state the client is speaking to their therapist from at the time of session as long as the therapist is licensed in the state the client is in.

  • Clients may have the option of calling their therapists through the therapists' direct phone lines as well as the option to email or text message their therapists in addition to the messaging feature on TheraPlatform when they need to cancel or reschedule an appointment.  Clients may not text therapists or email therapists private information or personal situations through text messaging therapists’ work phones and email accounts. If you are in need of additional emotional support while between sessions, you must write these messages using the TheraPlatform messaging feature. TheraPlatform is a HIPAA compliant site that will allow messages to stay private and securely stored. This is to safeguard and preserve clients privacy.

  • When attending group therapy at Ray of Light Wellness LLC, all participants are not to share information shared by other group participants with individuals that do not pertain to the group. Sharing information about group participants with those who are not in group is a direct violation of HIPAA and is grounds for immediate termination.

  • If a client attends session under the influence of alcohol and/or drugs the therapist reserves the right to cancel and reschedule the appointment. We can not provide effective services in these moments.

  • The practice reserves the right to ask clients to permanently leave the practice in the event a client disrespects a therapist or attempts to cross inappropriate boundaries.
